GMP Sportswear

Return & Exchange Policy

At GMP Sportswear, we specialize in custom apparel, including screen printing, embroidery, and custom cut-and-sewn garments made in-house. Because our products are made to order and customized to each customer’s specifications, we have specific policies regarding returns, exchanges, cancellations, and production errors.
Our goal is to ensure every customer understands the ordering process and is satisfied with the final product.

1. Custom Orders

All custom orders are produced specifically for the customer based on the approved design, artwork, garment selection, and order details. Since customized products cannot generally be resold, all custom orders are final sale and are not eligible for returns or exchanges due to incorrect sizing, change of mind, or change of customer-approved design choices.

Before production begins, customers will receive an estimate and a digital proof showing the intended design and placement of their customization. Customers are responsible for carefully reviewing and approving all details, including:

• Garment styles, colours, and sizes

• Logos, artwork, text, and spelling

• Design placement, sizing, and colours

• Quantities and other order specifications

Once the proof and estimate have been approved and production has begun, changes may not be possible or may result in additional charges.

If GMP Sportswear makes an error that causes the finished product to differ from the approved specifications, we will work with the customer to correct the issue at no additional charge. Depending on the nature of the error, this may involve repairing, reprinting, re-embroidering, or replacing the affected items.

2. Deposits, Payments & Order Cancellations

A 50% deposit is required before production begins.

The remaining balance is due upon pickup, following receipt of the final invoice by email.

Because custom orders require the purchase of materials and dedicated production time, cancellations or changes after production has begun may not be possible. If a cancellation is requested, any refund will be assessed based on the work completed, materials purchased, supplier commitments, and other costs incurred. Any applicable refund will be handled in accordance with applicable consumer protection laws.

Customers are encouraged to confirm all order details before approving their proof and submitting their deposit.

3. Webstore Orders

GMP Sportswear operates custom online webstores for participating schools, sports clubs, teams, and other organizations. These stores provide a convenient way for members and supporters to order branded apparel and spiritwear.

All webstore items are custom-made to order. We do not maintain excess inventory of customized products, as each item is produced according to the order received.

For this reason, webstore orders are final sale and are not eligible for returns or exchanges due to incorrect sizing, change of mind, or customer-approved design preferences.

Sizing and product selection

Size charts are provided on our webstores to help customers choose the appropriate size. Customers are responsible for reviewing the available sizing information before placing an order.

Customers are also welcome to visit our store, where available stock can be viewed and tried on in person, subject to availability.

Errors with webstore orders

If GMP Sportswear makes an error with a webstore order, such as producing an item incorrectly or supplying an item that does not match the order specifications, we will correct the error at no additional charge.

The affected garment may need to be returned to GMP Sportswear for inspection before a replacement is produced. Once the error has been confirmed, we will arrange an appropriate correction or replacement at no cost to the customer.

Webstore pricing and production

All prices displayed on our webstores include applicable taxes. Orders are produced after they are placed, and production timelines may vary depending on the product and order volume.

4. Samples

Customers may purchase samples to evaluate garment sizing, fit, colour, fabric, or product suitability before committing to a larger order.

• Payment: Samples must be paid for in full before they leave our store.

• Applied to an order: Where agreed in advance, the full amount paid for eligible samples may be credited toward the customer's subsequent order.

• Returned samples: If samples are returned instead of being applied toward an order, the customer will receive a refund of 80% of the original sample purchase price. The remaining 20% covers applicable handling, supplier return shipping, and restocking costs.

Returned samples must be in acceptable condition and are subject to any applicable supplier return requirements. Customers should confirm sample return eligibility and arrangements with GMP Sportswear before returning items.

5. Reporting an Error or Quality Issue

If you believe your order contains a production error or does not match the approved specifications, please contact GMP Sportswear as soon as possible.
To help us resolve the issue promptly, please provide:

• Your name and order number

• A description of the issue

• Clear photographs of the affected item, where applicable

Please retain the affected garments until we have reviewed the issue and provided instructions. We may request that the item be returned for inspection before arranging a correction or replacement.

If an error attributable to GMP Sportswear is confirmed, the necessary correction or replacement will be provided at no additional charge.

6. Digital Proofs & Design Approval

Digital proofs are provided as a visual representation of the proposed final product and are intended to help customers visualize the design, colours, sizing, and placement of logos or artwork before production begins. Digital proofs are not an exact representation of the finished product, and variations may occur.

Actual colours may appear different due to screen settings, display variations, garment colours, fabric textures, and the printing or embroidery process. The final appearance may also vary slightly depending on the garment style, material, and production method used.
By approving a digital proof, the customer acknowledges that it is a visual reference rather than an exact depiction of the finished product and accepts that minor variations may occur. Customers are responsible for carefully reviewing all design details, including spelling, artwork, logo placement, and other specifications, before providing approval.

Once a proof has been approved, GMP Sportswear will proceed with production based on the approved design and order specifications. Minor variations between the digital proof and the finished product do not, on their own, constitute a production error. However, if the finished product does not reasonably conform to the approved specifications due to an error on the part of GMP Sportswear, we will work to correct the issue at no additional charge.

If you have questions about our return and exchange policy, sample orders, sizing, or a potential production issue, please contact GMP Sportswear before placing your order or as soon as a concern arises.
